12) Importing data into Focus Feedback

When you are sending your survey to a large group of people, it is often easier to import the data into your Focus Feedback platform. Importing data into Focus Feedback is possible at:
  • Survey creator
  • Projects
  • Tables
  • Email template (coupons)
The import process is equal for all import possibilities and exists of two steps:
  • Converting your data to .CSV file
  • Follow the four steps of the import wizard
.CSV files remove the lay-out from your document. This is necessary so Focus Feedback can read the data properly. When starting the import process Focus Feedback opens the import wizard. The wizard helps you through the import process in four steps. If you always import the same file with the same columns, Focus Feedback will remember your template. This means that it will save your settings so you don’t need to repeat them every import process.

Step 2: Converting data to .CSV format

Step 1

To import files into the Focus Feedback platform you need to change the file type to .CSV. This will remove the lay-out of your document, so Focus Feedback can read the data properly. To start this process open your excel table and click in the left top corner on “File”.

Step 2 Using Save as

There are two different ways to save your file as an .CSV document.

  • “Save as” tab
  • “Export” tab

When you click on the “Save as” tab and click on brows, your computer opens your Folders. Under your “File name” is the tab: “Save as type”. When you click on this drop-down menu you get your possible file types. Within the list click on .CSV file. Your file is now saved as a .CSV and ready for the import process.

Step 2 Using Export

When you click on the “Export” tab and click on “Change file type”. You get a list with possible file types in the right table. Choose .CSV file from this list. Now click on “Save as” and save your file within your folders. Your file is now save as a .CSV and ready for import process.

 

Step 3: Focus Feedback import wizard

Different sections of the Focus Feedback platform allow you to import files. This can be customer lists for sending the survey or separate tables you want to add. You have the import possibility with:

  • Survey creator to import customer information for sending your survey. You can find the import button on the “to send” tab
  • Email template under the extra options you can import coupons. For example, you can import a file with discount codes that customers get within the thank-you email when completing the survey
  • Blacklist to import a file with known customers who don’t want to receive the survey
  • Tables to import an employee list for the Report Mailer or a list of all ongoing business projects for the Projects tab
  • Projects to import a file with ongoing business projects (also possible at the “Tables” menu tab)

Files imported to the Focus Feedback platform need to be .csv excel files with headers. To import files into Focus Feedback, you will be led through a four-step wizard as explained below.

Import step 1/4

  1. Give a name to your import template (Mapping template); Focus Feedback will remember the mapping of your file. When you import another file with the same mapping (layout) the template will automatically have the right options put in.
  2. Add a file to import using the +. A pop-up screen will appear which will then contact your library where you can choose your desired .csv file

Import 2/4

  1. Mapping template is automatically copied from the first step
  2. The date format chosen must be identical to the date format used in your .csv file
  3. Choose your desired date/time/field separator signs

Import 3/4

  1. Match the destination field to the correct source field by pressing the empty square in the source field. You will get a drop-down list with the headers from your .csv file
  2. The areas with the “!” sign are mandatory fields. Without adding the needed source field the import process will not be completed. Fields without “!” sign don’t need to have a source field before completing the import process.
  3. If a key sign is added, it means all data imported from the column is unique. For example, there are no similar email addresses, so you add a key sign, and there can by multiple people with the same brand, so you don’t need to add a key sign to this field

Import 4/4

  1. Focus Feedback will show you an example of the files that is going to be imported with the options you selected. You have to review the data and click the run button to start the import process.
  2. You can now find your imported files under the tab where you started the import process.
