Release notes of September 3th, 2020

Summer time or not, we have continued to improve and renew our Focus Feedback software. In this newsletter, we will inform you of the latest features and possibilities!

You can read about the following new features:
– Project categories
– Expansion of the ‘Sent Messages’ chart
– A ‘Follow-up button’ to follow up on feedback

Together we will go from feedback to enthusiasm!

Project categories

New features of this function are:

  • Manually add project categories via the ‘Projects tab’ in Focus Feedback Admin.
  • Management of your project category under ‘Administration’ -> ‘Tables tab’ in Focus Feedback Admin.
  • The adjustments you make in Focus Feedback Admin are immediately visible in Focus Feedback.
  • Charts and dashboards in Focus Filter feedback by category instead of individual projects.

Previously, you had to indicate which project it applies to for each graph in your dashboard in Focus Feedback. That is now a thing of the past! You can now link projects to one project category, for example, all projects for one of your value streams or maybe all projects for a particular region.

This way you can filter a dashboard based on the project category and you no longer have to search for complicated project numbers. The graphs in that dashboard then show all data from all projects that are linked to the filtered category. When a new project is created, users can associate the project with one or more categories and the dashboards are automatically updated accordingly. This new function makes it easier to maintain, easier to work with, and clearer.

Go to Focus Feedback Admin -> choose projects -> click on the pin for a project as in the image below.

Then you end up in the ‘Project Detail’ screen. On the right you can add project categories.

If you have taken these steps in Focus Feedback Admin, you can continue in Focus Feedback. If you edit the filter of an existing chart or create a new chart, you will find the ‘Project Category Filter’ under the ‘Add Filter’ button. Here you add the category. So you no longer need to manually add the project to every graph for an added project.

Expansion of the 'Sent Messages' chart

The ‘Sent Messages’ chart in Focus Feedback previously showed the number of email / SMS messages from:

First messages
Reminder messages
Thank-you messages

Now it shows a new variable, ‘answered messages’. The new section shows all responses over time.
For this new function you can choose different functions, namely:

Set the answered message based on response date or based on sending date (visit date)
Set the ‘from’ and ‘to’ date
Choose the period: show answered messages by day, week, month, quarter or year

A 'Follow-up button' to follow up on feedback

The Follow-up button has been added to the Classification module of Focus Feedback. The functionality is identical to the existing follow-up button in Focus Feedback Admin.

When classifying feedback you have the option to assign the feedback to the Closed Loop Feedback module (CL Feedback). We are aware that not all organizations use the Focus Feedback CLF module, so we provide the option to follow up on feedback using this button instead.

With the Follow-up button, you can send the feedback, by e-mail, to an e-mail address of your choice. You can set a template for the format of the e-mail in Focus Feedback Admin via Management -> System mail templates, then select Follow-up mail type.

This is what the follow-up button in Focus Feedback looks like:

Improvements

• Filters added to a chart where saved in a filter table. When names of filters changed along
the way this was not updated in this table. For example a chart was filters on the region
“North” if the mapping of this region would change to “North-West”, the chart would still
showcase the region as “North”. We improved the application to make a check on all filters
before loading in the data to update when changes to the names have been conducted.
• The three premade dashboards: NPS Performance Overview, NPS verbatim Analysis and
Callback Selector allow users to deep dive into feedback through three different methods.
After the deep dive these dashboards showcased 20 pieces of feedback. Paging has been
added to all three dashboards. The result is that after the deep dive for example there are
100 pieces of feedback. The first 20 are shown but on top and at the bottom of the list an
arrow icon is added where the next 20 can be requested. This allows the users to see all 100
pieces in five different pages.
• The Focus Feedback Classification Graph always shows all classification groups. Customers
are able to activated and de-activate classification groups, or sub-labels per survey. The
result was that if a classification graph was filtered on one survey that only used a view
classification groups the graph still showed all existing groups. We changed the logic so the
application first checks which groups and sub-labels are activated for the filtered surveys and
only shows the active classification groups and sub-labels to give a better overview of the
labeled feedback in the graph.
• Adding a weblink to the automatic email when feedback gets assigned through the CLF
module resulted in a https://localhost when the weblink was for Focus Feedback Admin but
was opened through Focus Feedback or the other way around. The application now checks a
different table to set up a proper link when the CLF module are used simultaneously in Focus
Feedback and Focus Feedback Admin.
• All internal e-mail traffic was send out through info@focusfeedback.nl. This was a sub
domain which triggered the automatic e-mail response of the main domain. To solve this
issue a new domain has been created. All internal mail traffic (assign mail, report mailer,
result e-mails, etc) will now be send through our new domain Mailer@focusfeedback.nl.
• The department key which is the key used to determine which survey needs to be send out
had a character limit of 10 keys. This key limit turned out to be on the low side and resulted
in users needing to count the amount of keys they used. To solve this issue the new
character limit is set to 50 characters, we also added a counter that shows the user how
many keys he/she has used.
• Added the possibility to export all the Closed Loop Feedback fields in Focus Feedback Admin
for all company types. Fields that can be export are: Assigned to, Assigned by, Assign Date,
Closed date, Closed by, Status and Call Note.
• Improved the code behind the processed tab. In the survey creater you can click the
processed tab to see a table with all the processed records for that survey. For big companies
this page took a long time to load, we tried to make the code faster to decrease the loading
time of this page.
• Added a new button to the CLF details screen. It is now possible to navigate directly to the
classification module from the CLF details, the classification module will then open that piece
of feedback individually so it can be classified or the classification can be changed.
• Added the feedback details pop-up to the classification module. It is now possible to see
more details behind the feedback by clicking the “i” icon. A pop-up opens that shows all
meta-data and additional questions, it also allows the user to navigate to the CLF details
straight from the classification module.
• A new icon has been added to the Latest Feedback pop-up. Which allows the user to open
that individual piece of feedback straight within the classification module.

value was empty. The correct user should now be showcased correctly again.
• Within the Survey Creater in the Survey details pop-up we changed the field + checkbox that
stated “Active” to “Active Language” to make it more clear that this checkbox only has effect
on the language not on the complete activation of a survey.
• Resolved a small issue where some of the additional filters did not have a icon accompanying
their cards.
• Fixed an issue where the ‘Potential and Like’ graph was ordered by largest to smallest based on
amount of feedback classified as potential as a default order. The default order has been changed
to give the order as set within the Manage Labels within Focus Feedback Admin.
• Fixed an issue in the classification module where the user was not able to navigate to the next
piece of feedback when only a potential or like was selected but no additional labels. Now it is
possible to only select a potential or like and still navigate to the next piece of feedback.
